Develop, plan and coordinate special and varied off-site and campus events hosted by the Chancellor or School of Medicine Dean, consistent with the strategic focus and image of Duke Health; organize and manage on-site execution of events with other University departments to ensure that activities run smoothly and follow appropriate protocol. This position reports jointly to Chancellor's Chief of Staff and Dean's Chief Communications Officer. This is a Duke University Health System (DUHS) position.
Develop, plan and implement the program of events, including in-person and virtual, for Duke Health including, but not limited to, dinners, conferences, Board meetings, Town Hall meetings, HR recognition events and special entertainment programs; conceptualize and recommend scheduling of events as appropriate; plan and coordinate details of special events hosted by the Chancellor or Dean to include selecting entertainment, site, menu, seating arrangements and itinerary based on event objective or theme.
Research and prepare background information and/or introductory remarks for special events as appropriate. Plan and coordinate arrangements for special functions including the management and tracking of invitations.
Assist Schools and departments as requested with planning and implementation of various special events to range from giving advice, conforming plans to host (Chancellor or Dean) preferences and/or planning entire event.
Prepare and submit expense reports while regularly monitoring the expenses related to all events.
Negotiate and secure contracts with multiple vendors. Direct vendors and other contracted staff to execute events hosted by the Chancellor or Dean. Perform other related duties incidental to the work described herein.
Lead and manage all aspects of special awards ceremony, including coordination of the application process and selection of awardee, event planning, coordination of audiovisual support and budget oversight.
Create, maintain and monitor inventories of unused event supplies. Update supervisors regularly.
Serve as the principal contact with high-level invitees, including DUHS Board of Directors, Trustees, and other leaders from Duke University, community, businesses, etc., when organizing events.
Work requires a general business background generally equivalent to a bachelor's degree in a business related field.
Work requires 2 years related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities. Experience in special events planning, alumni affairs, public relations, sales and promotions, marketing, fund raising, student activities, program administration or related strongly preferred. A master's degree in a business related field may be substituted for 2 years experience.
