Nemours is seeking an Administrative Assistant for our Operating Room in Wilmington DE. The Administrative Assistant coordinates administrative affairs and functions for the Operating Room. This person will be responsible for providing administrative support for the Director the Management Team by performing a wide range of tasks designed to facilitate objectives and accomplishments. Develops and implements procedures for efficient records control, and maintains departmental records and files.
Maintains Management calendars and uses own discretion in scheduling and adjusting appointments as necessary. Supports the department in travel arrangements as requested.
Communicates regularly with management personnel, senior leadership, medical staff and offices, and employees throughout the hospital, facilitating efficient processes to obtain and relay information and resolve outstanding
Establishes a system of record keeping and maintains administrative, fiscal and other organizational records for the Director
Coordinates committee meetings, agendas, minutes, distribution of lockers, pagers/cell phones for team members.
Routinely initiates and composes correspondence and generates reports, while maintaining data base systems, using multiple personal computer applications.
Answers departmental correspondence, which requires considerable knowledge of departmental and hospital policies and procedures. Prepares agendas and supporting materials, completes committee meeting minutes, and reports for final review by the Director
Posts and updates the staff bi-weekly payroll on Kronos timekeeping system. Reviews policies and procedures with new associates related to payroll.
Actively contributes to the planning and achievement of the department objectives and goals, supporting the Management Team in the completion of special projects.
Prepares payment request forms for signature and forwards after signature has been obtained to the accounts payable department.
Ability to effectively communicate with other administrative offices of Nemours Children's Hospital and Central Florida Clinics and outside organizations.
Accountable for maintaining required records as well as for administrative support, customer service, quality improvement, orientation and training, payroll administrations, and projects.
Effectively communicates in written formats both verbally and non-verbally, inquiring, suggesting, accurately informing and accepting feedback with staff, visitors, physicians, patients and external contacts.
